IMS Euro Supplier Delivery Standards

These delivery standards outline best practice for delivering goods to IMS, to ensure timely and efficient unloading and receipt of deliveries.

Any exceptions must be agreed in advance of delivering goods to IMS through your procurement contact.

1. General

  • Please issue PO confirmation within 24hrs of receiving a purchase order. This must include confirmation of prices, quantities, delivery date etc.
  • Unless agreed with IMS - All deliveries should be ON TIME IN FULL.
  • Any products delivered on sub-standard pallets, or in an unsafe condition, may be rejected or restacked, in which case the cost of doing so will be recovered from you.
  • In readiness for our Warehouse Management System (WMS) to go live, we will be in touch soon regarding the requirements for GTINs and barcodes.

2. Making deliveries

Palletised Goods

  • All palletised deliveries must be booked in on either +44 (0)161 537 8953 or [email protected] quoting the IMS PO number and number of pallets / cartons for delivery. A booking reference will be issued with booking confirmation.
  • Delivery slots are scheduled between 8am to 3pm, Monday to Friday, and available on a first come first served basis.
  • All palletised deliveries must be booked at least 96hrs in advance.
  • All drivers must quote the IMS booking reference on arrival.

DELIVERIES NOT BOOKED IN WILL BE REFUSED ON ARRIVAL.

Loose Carton Courier Deliveries

  • Where possible, advance notice of loose cartons despatched via couriers should be issued to [email protected] quoting the IMS PO number and number of cartons.
  • Deliveries will be accepted between the hours of 8am to 3pm, Monday to Friday.

3. Delivery Notes

  • All deliveries MUST have a delivery note, which must clearly state our order number.
  • Must be printed, rather than handwritten, and in English.
  • Contain your supplier name.
  • State IMS purchase order number (1 per delivery note).
  • Unless otherwise agreed, delivery notes should be emailed in advance of goods arrival to [email protected]

4. Pallets

  • The standard palllete height is 1.8m, inclusive of the product & pallet.
  • Preference is for pallets to be 1000 x 1200mm four-way entry pallets with a full perimeter base board.
  • Euro pallets 1200 x 800mm four-way entry pallets with a full perimeter base board will also be accepted.
  • Stability - Goods should be stacked and secured in such a way (double wrapped) to form a stable unit, with no overhands and must remain stable during picking, i.e., no column stacking.
  • Only clear shrink / pallet wrap should be used.
  • All pallets delivered will become the property of IMS (no pallet exchange or pallet notes will be issued).

Any products delivered on sub-standard pallets or in an unsafe condition, will be checked against our stock requirement and could result in the full pallet/ part pallet being rejected.

Where stock is required, it will be restacked onto a suitable pallet. All costs associated with re-work will be recovered from you.

5. Labelling

Pallets should be labelled (ideally with paper between pallet wrap rather than sticky labels) on all 4 sides with:

  • Your company name
  • Product code
  • Product description
  • Quantity
  • Outer case GTIN
  • Batch detail
  • BBD where applicable

Mixed pallets labelling:

  • Single vendor per pallet only
  • All SKU labelling must be outwards facing to allow easier processing

Carton Labelling:

  • Should be labelled with Company name, product code, product description and quantity.
  • Mixed cases / boxes must be labelled as mixed and list of contents.
  • GTINs and barcodes (to GS1 standards) are required on all outer and inner case labelling.
